Is my resume ATS-friendly?

Start with a smaller question: can software extract your words in the right order? An applicant tracking system, or ATS, may turn your resume into fields an employer can search. That reading step is called parsing.

You can check for missing text and scrambled work history before you apply. These checks cannot certify compatibility with every ATS, predict your ranking, or promise an interview.

Follow the employer

Read the upload instructions on the actual application. Use the requested file type and stay within its size limit. There is no file format that wins for every employer.

If PDF and DOCX are both accepted, keep a readable version of each. Check the file you will send, not an older draft. A successful upload does not prove that every field was parsed correctly.

Check the text

Open your resume and try highlighting individual words. Copy the text into a plain-text editor on your device. You do not need to upload your history to another website for this check.

If you can select only a whole page image, the file may be a scan rather than readable text. A PDF filename does not tell you what is inside. Export a text-based file from the original resume, if you have it.

Otherwise, use text recognition or retype the missing content, then check the result carefully. Confirm your contact details, employer names, job titles, dates and bullets survived. Look for lost characters, especially in your email address and phone number.

Read it in order

Read the pasted text from top to bottom. Each job should keep its title, employer, dates and bullets together. Check that a sidebar has not cut through a sentence or moved details into the wrong job.

Illustrative example: a cook role dated 2023–2025 should not inherit the dates from an earlier cashier role. If the copied text mixes them, rebuild that section in a single column and test again. Copying text is a useful warning check, not a simulation of the employer’s parser.

Reduce layout risks

Columns, complex tables and text boxes deserve extra attention. Greenhouse documents these as possible causes of partial or unsuccessful parsing, not automatic failures in every system. A single-column version is a conservative alternative when the extracted order looks wrong.

Keep essential contact details in the main body, rather than only in a header or footer. Use clear headings such as Work experience, Education and Skills. Do not make an image, icon or skill bar the only place an important fact appears.

After editing, export the file again and repeat the text check. Check any application fields filled from your resume and correct mistakes where the form allows. Keep your experience truthful; readable formatting cannot replace the qualifications an employer needs.
